2020 Big Buck Exhibitor Application

Thank you for your interest in the Southwest Outdoors Club’s 2020 Big Buck Sportsmen Show. The show continues to grow year after year and we are expecting 2020 to be another great event.

Please fill out the application from completely. You will receive confirmation of its receipt along with instructions for payment once it has been approved.

Please note that vendor table space is not considered secured until the SWOC has received a completed application form and payment in full. Deadline for payment is Friday, March 20th, 2020 after which time tables not paid in full will be offered to other vendors on the waiting list for space.

Vendors with one paid table space will receive two Vendor Entry Bracelets which must be worn at all times during the day of the show. Vendors with more than one paid table space will receive three Vendor Entry Bracelets. Additional Vendor Entry Bracelets may be purchased for $5 each. Children 12 and under get in free. Vendor bracelets are for Vendors and staff only.

Show Hours: Saturday, April 18th from 10 am until 5 pm

Set Up: Friday, April 17th from 2 pm – 7:30pm & Saturday, April 18th from 7 am – 9:30 am

Exhibits must be ready for the show opening – packing etc. removed/stored out of sight and all areas cleaned. Large exhibits requiring vehicle entry into the arena must set up Friday, April 18th. Vehicles may enter, unload
and be removed immediately. Your vehicle can not remain in the arena during actual display setup. There will be no vehicle entry allowed for set up on Saturday morning under any circumstances.

Exhibitor Parking:
Exhibitor parking spaces will be assigned at load-in. Vendors will be expected to park in their assigned spaces.

Tear Down: Saturday, April 18th 4:30 pm – 6:30 pm
Exhibitors must keep displays fully intact and manned until 4:30 pm Saturday. Those leaving early will not be invited back in subsequent years. Displays must be dismantled and removed no later than 6:30 pm, Saturday.

Clean Up After Show:
While the SWOC members will be responsible for general cleanup, exhibitors must remove all aspects of their displays at tear down. This includes all garbage and cardboard in the display space.

Soliciting and Selling
Permitted only inside the exhibitor’s leased space.

Arrival & Check-In
When arriving at the arena to set up, Exhibitors are required to check in with SWOC’s vendor coordinators BEFORE beginning to unload or driving into the arena with a vehicle. Vendors will be provided with their entry
bracelets on check-in. Vendor bracelets MUST be worn at all times on show day – no exceptions. Replacements and/or additional bracelets may be purchased for $5.

Exhibitors Property
While the building does have an alarm system, all of the Exhibitor’s property at the show shall be at the sole risk of the Exhibitor and neither SWOC nor the Facility assumes any responsibility for damage to, loss, or theft of property belonging to Exhibitor, its agent, employees, visitors or guests.

Assignment and Subletting
The Exhibitor shall not assign any rights under this Agreement, share their space or sublet the space without permission of the SWOC, whose permission may be arbitrarily withheld.

The SWOC reserves the right of refusal for any exhibitor.

The SWOC also reserves the right to move the location of any exhibitor booth space if need be.
