2023 Big Buck Sportsmen’s Show – Saturday, April 22

Thank you for your interest in the Southwest Outdoors Club’s 2023 Big Buck Sportsmen Show. Please fill out the vendor application from completely. You will receive confirmation of its receipt along with instructions for payment once it has been approved.

Please note your booth space is not considered secured until a completed application form and payment in full has been received. Deadline for payment is Friday, March 31st, 2023 after which time any booths booked but not paid for in full will be offered to vendors on the waiting list.

Vendors will receive two vendor admission bracelets and two door prize draw tickets per booth space rental. Bracelets must be worn at all times during the day of the show. Any additional staff beyond two per booth space pay regular admission to enter. (If you have two spaces, that means admission and raffle tickets for four people will be included).

Children 12 and under get in free. Vendor bracelets are for vendors and staff only.

Show Hours: Saturday, April 22nd from 10 am until 5 pm

Set Up: Friday, April 21st from 2 pm – 7 pm & Saturday, April 22nd from 7 am – 9:30 am.

IMPORTANT – Large exhibits requiring vehicle entry into the arena must set up on Friday, April 21st. Vehicles may enter, unload and then must be removed IMMEDIATELY.  There will be absolutely no set up allowed while your vehicle is in the arena – unloading only. No vehicle entry allowed for set up on Saturday morning under any circumstances.

Exhibitor Parking:
Exhibitor parking spaces will be assigned at load-in. Vendors will be expected to park in their assigned area.

Tear Down:
Exhibitors must keep displays fully intact and manned until 4:30 pm Saturday. Displays must be removed no later than 6:30 pm, Saturday.

Clean Up After Show:
While the SWOC members will be responsible for general cleanup, exhibitors must remove all aspects of their displays at tear down. This includes all garbage and cardboard in the display space.

Soliciting and Selling
Permitted only inside the vendor’s booth space.

Arrival & Check-In
When arriving at the arena to set up, vendors are required to check in with SWOC’s vendor coordinator BEFORE beginning to unload or driving into the arena with a vehicle. He can be located at the main stage in the middle of the arena. Vendors will be provided with their entry bracelets at check-in. Vendor bracelets must be worn at all times on show day – no exceptions.

Vendor’s Property
While the building does have an alarm system, all of the vendor’s property at the show shall be at the sole risk of the vendor, and neither SWOC, its members, , the facility staff nor the municipality assumes any responsibility for damage to, loss, or theft of property belonging to vendor, its agent, employees, visitors or guests.

Assignment and Subletting
The vendor shall not assign any rights under this agreement, share their space or sublet the space without permission of the SWOC, whose permission may be arbitrarily withheld.

The SWOC reserves the right of refusal for any vendor. The SWOC also reserves the right to move the location of any exhibitor booth space if need be.
